Ministry Position
Executive Director
Reporting function: Senior Pastor
Part-Time Exempt Position (25-30 approx. hours per week)

Position Summary
The Executive Director will report directly to the Senior Pastor in coordinating staff and volunteers in achieving the overall mission and vision within and beyond the ministries of St. Paul Lutheran Church and School. The Executive Director is responsible for all aspects of the day to day and strategic business operations of St. Paul Lutheran Church and School. Specific duties will include, but not limited to, 1) providing leadership and oversight of congregational finances in conjunction with the Business Manager, staff, board chair(s), and senior pastor; 2) human resources management and procedures; and, 3) the management of physical properties owned and operated by the Church. This person will live and model a lifestyle which is seeking to grow as a fully devoted follower of Jesus Christ and be a dedicated steward of their time, talents, and financial resources. This position will require flexible scheduling, weekend hours, and an on-call presence.
Human Resources
§ Develops HR committee and ensures that proper personnel policies and procedures are maintained and followed by church and school.
§ Ensures staff performance reviews and evaluations are completed through the HR committee and appropriate staff supervisor.
§ Periodically reviews wages and salary structures with appropriate supervisor, making recommendations to the HR committee.
§ Ensures that proper compliance is maintained in all aspect of the ministries of St. Paul Lutheran Church and School with respect to local, state, and federal laws and guidelines.
§ Coordinates vacation schedules of staff and scheduling needs of the facility.
§ Oversee and direct weekly administrative staff meetings
§ Assists the administrative and support staff in the clarification of their assigned duties and help them evaluate their own ministries for the purpose of improvement
Financial Management
§ Lead and support the preparation of the annual operating plan and budget.
§ Attend monthly Board of Director meetings and ensures that monthly financial updates and projections are completed.
§ Ensure that the financial resources are in compliance with policy constraints.
§ Works with the Business Manager and Treasurer in overseeing the management of the budget and completing a monthly financial analysis and forecast for review.
Operations
§ Works with Business manager, treasurer, and BOD to prepare the annual ministry budget
§ Prepares the annual report
§ Works with Property Board in contract negotiation and insurance matters
§ Obtains advice on legal, business, and tax matters for the church and staff
§ Develop and implement an ongoing long-range mission and ministry plan and strategy for St. Paul, working with the senior pastor, other staff and congregational leaders.
§ Responsible for “Safeguarding our Children” procedures, implementation, and background checks
Property and Facility Management
§ Responsible for the overall facility maintenance program
§ Supervises the Custodian and outside contractors/vendors
§ Works closely with Properties Board, Custodian, staff, and volunteers in coordinating projects
§ Administers and maintains policies and procedures of the use the property and facility.
§ Works with and coordinates all outside rental agreements and use of the building
§ Oversees the security and proper lock-down procedures are adhered to and maintain. This includes,but not limited to, the locking of the building after worship services, major events, and other activities.
§ Responsible for the coordination of building schedule and maintains the distribution of keys.
§ Ensures an inventory of all property
§ Assists any building committee in their work with architects, contractors, and others in the evaluation, planning, building, remodeling, and equipping current and new structures
§ Develop and maintain proper security and emergency procedures.
§ IT Coordination

Since this is a newly created position, the person who accepts it agrees to guide the staff in the development of new processes, procedures, and structures and is personally flexible enough to accept appropriate changes in this ministry description.
